Property Use Committee Meeting

Dean Twardokus called the meeting to order. Pastor had a devotion from Luke 16.

Attending were Pastor Jeffery Drake, Dean Twardokus, Richard Moldenhauer, Dale Twardokus, Cody Gunst, Del Kannenberg, Renoda Dogs, Jane Moldenhauer, Nikki Gunst, Larry Dogs, Noreen Dogs and Steve Wagner.

We had guests Dana and Emma Melzer introduce themselves and tell us about their art classes. They are looking to rent space to do classes. They run sessions year round and have up to 3 days a week and have one Saturday a month. They also do classes for businesses, showers, and bachelorette parties.

The Secretary’s report was read. Steve Baetz no longer cleans at the Chandelier. Correction will be made to the minutes. Nikki Gunst moved to approve the minutes, Bill Moldenhauer seconded the motion.

We discussed the Use Policy. It is stated that the building is smoke free. We discussed the question of how to handle smoking outdoors. It was stated that others follow a guideline of smoking to be at least 20 feet from the building. We also discussed adding the use of gym shoes only for athletic activities. Nikki suggested adding “non marking” to that. We will add both to our policy and have the changes approved at the next meeting.

Larry Dogs reported that the well cover that Bob Harned made was donated by him. The bathroom signs were donated by Curtis Gunst. There were many volunteers that helped clean and prepare for the dedication. 202 people were in attendance. 38 cars were on the lot and another 38 were parked on the grass. There were also some cars parked along the road. Jane noted that there was some spilling of drinks in the hallway and suggested using a taller glass that would be easier to carry in the future. Noreen gave a report on the Google calendar set up by Deb Drake. A white board was suggested to display room activities in the office. Cody said that a computer monitor would also work well. We talked about the possibility of Saturday night services in the TCC chapel. A special voters’ meeting will be held on September 18 after church to discuss it. Bill suggested letting the church membership know on a regular basis what is going on at TCC.

Steve Wagner was present to talk about starting cardio tennis in the gym on Saturday mornings. He would also want to use the cafeteria area to sell granola bars and water. He would like to have a free will offering and pay the $25 for using the gym. Half of the balance would go to Trinity and half go to a charity that the group would vote on. He is starting with a fall session running 8 weeks and will start another one in February or March. He will be donating all of the equipment. We talked about liability insurance. Richard will check with Church Mutual. We may need participants to sign a waiver. Jane moved to let the cardio tennis program start in October, provided that liability is worked out. Larry D. seconded the motion. Motion passed.

Noreen and Bill talked about the inquiry of Brian and Debbi Muche to use 2 dedicated rooms one for her stamping classes (and dartball) and the other for a Monday dartball league. They were told of the Schauer Center dedicated room rental of $200. They didn’t feel they could do that and asked if we would be willing to rent for $100 per month. Our first electric bill for the building was $600 which amounts to $100 per week. There will be heating costs to add to that when it gets cold. There was a concern of covering our expenses if we would dedicate a room for that rent. After some discussion, Cody Gunst moved to charge $50 to use the cafeteria and not have it dedicated. There was no second, motion failed. Bill moved to charge $150 a month for a non dedicated room. Larry D. seconded the motion. Noreen will talk to Debbi and get more information.

Old Business: Richard reported that there has been $25,000 in donations and income so far. There has been over $20,000 in expenses. $7,000 was spent on the lawn mower and about $7,000 in janitor wages. The items sold from the building amount to $3,170. There are pending locker sales. We discussed if we should sell any more lockers. It was felt that we should keep the remaining lockers for possible day care use or for renters to lock items in them. Charlie Oldenburg, Dean and Nathan Twardokus are working on coat racks for the area where lockers have been removed. Jane has picked up hangers for them. St. John’s, Juneau has bought 2 smart boards for $150 each and do not have them yet.

Jane talked to the janitor about storage on the south end. Any paint or strippers got moved there. Some of the other supplies will be kept in the storage room across from the kitchen. There was discussion about locking up the chemicals. It was decided that they would be kept high, but still accessible to people renting the building. Brad Callies, Jeff Moldenhauer, and Pastor have learned about the mechanical system in the building. Steve Wetor volunteered to clean the filters. We discussed heating and will check into the possibility of putting boxes around the thermostats, so temperatures could not be changed by anyone.

Larry Dogs reported on the zoning permit that was applied for. The property is zoned A2 and a use variance will be needed for retail office or a coffee shop. A permit for a sign was also applied for. We will need to have a size variance because the township currently has a 3 x 4 ft size limit. The zoning meeting will be on September 28 at 8 PM at TCC.

We talked about the serving of liquor in the building. It is allowable as long as it is not sold – then a license would be needed. The K type fire extinguisher has been taken care of. A hot box will be needed for police and fire department access in case of an emergency. It will cost about $400.

There was no further update on a security proposal. The doors have not been re-keyed. There are 12 keys that have been given out. We will have one of our member open up for people using the building.

New Business: We discussed if we should we get rid of the remaining desks. 24 kids are in confirmation class at tables. If the number would get as high as 30 we would need to use desks. The estimate for screens for the chapel windows was $650 for all 7 of them. It will be put on the wish list. The organ in the chapel came from Dan Moldenhauer. Pastor Drake got an e-mail from Pastor Babinec. There is a member from Woodland that has a baby grand piano and is interested in donating it. It was decided to have Pastor talk with Dan Moldenhauer and Christine Callies to see what they think.

The outdoor lighting was discussed. Keith Kell said taking the fixtures off and using LED will affect the look. We could raise the lights on the south end of the parking lot for better lighting. Another fixture could go by the flag pole area, but would need another box. We decided to table the lighting. Del has been checking on signage and is working with 5 companies. He will work with a committee and will get more information. Cody Gunst suggested a banner could be made as a temporary sign until a permanent sign is placed. It would have to be 3 x 4 ft. in size to comply with the current Town of Herman code. He will check on prices. Brad and Julie Callies donated the vinyl letters on the glass door. Do we want any additional information there? Del moved to have Pastor’s name and phone number added to the door. Bill seconded the motion. Motion carried. Del also reported that he is checking with Bergman in Slinger and Interquest on a cordless sound system for the chapel. It will cost between $1,800 and $2,400. Someone has expressed an interest in donating it.

We discussed the art classes that the Melzer family would run. Dana said most of her classes are over 2 hours. Larry Dogs moved to approve rental to Anaday Art for $35 a night. Noreen Dogs seconded the motion. Motion passed. There was some discussion on setting rates for room rentals and it was decided to form a committee and have them propose the rates and present them at the next meeting. Larry and Noreen Dogs, Bill and Sharon Moldenhauer, and Dale Twardokus will be on the committee. Myrna Cikanek also joined the committee later.

Richard mentioned other things to work on – the boys bathroom float needs repair, the north windows need to be cleaned and puttied, and there is an odor coming from the shower drains.

Larry Dogs moved to adjourn the meeting, Nikki Gunst seconded the motion. We closed with the Lord’s Prayer. The next meeting will be Monday, September 26, 2016 at 7 PM.
